Administration Assistant

The Company:

Our client is an Australian leading force in the infrastructure sector, manufacturing specialised environmental products for a wide range of residential and commercial customers across the country.  Established over thirty years ago, they have experienced consistent growth and continue to expand their product range year on year, to keep up with high industry demand. They are currently seeking an experienced Administration Assistant to join their Brisbane operation and support them through their next growth phase.

The Role:

As a crucial member of the team, this exciting role will give you the opportunity to perform a wide variety of tasks, while providing input on the improvement of systems, processes and procedures to enhance the running of the business.

Reporting to the National Manufacturing Manager, your key responsibilities will include:

  • Front desk reception management and responding to all queries via phone, email and mail
  • Supporting the Manufacturing Manager with general administration and onsite requirements as well as performing Ad-hoc duties as requested by senior management team
  • Attending weekly meetings, recording actions and minutes, producing PowerPoint presentations and generating reports for senior managers
  • Purchasing for supplies and maintenance as required
  • Sourcing freight quotes, coordinating deliveries, completing shipping documentation and setting up delivery run sheets
  • Assisting the Production Manager with Safety Audits, Quality Inspections, generating production packages, and reporting
  • Entering weekly timesheets for production staff
  • Coordinating onsite events and team building activities
  • Liaising with the Divisional General Manager and head office staff to ensure site compliance and consistency of all documentation and templates

Your Profile:

To be successful in this position you will have several years’ experience working in a similar Administration support role and have the ability to hit the ground running. You are passionate about providing high levels of customer service, and describe yourself as self-motivated, proactive, adaptable and able to work both independently and as part of a team.

What you will bring:

  • Proficiency in Microsoft Office, SharePoint, and ERP systems
  • Prior experience working in the manufacturing industry 
  • Excellent communication and stakeholder engagement skills
  • Exceptional time management and organisational skills
  • High level of enthusiasm, exceptional attention to detail and a can-do approach to learning and assisting the team
  • Problem-solving attitude with demonstrated ability to perform and succeed under pressure
  • Ability to work to tight deadlines in a fast-paced environment
